Insurance & Required Documents

Make sure the right coverage and required files are current before release.

Is the carrier’s COI current and appropriate for this shipment?

Are expiration dates visible and checked before the shipment moves?

Shipment Documentation

Confirm that the shipment record, BOL, packing slip, manifest, PO, and load details match.

Is the BOL complete, accurate, signed, and accessible to the right parties?

Does the packing slip match the shipment contents, PO, and customer requirements?

Are cargo, vehicle, driver, pickup, and delivery details complete and current?

Customer & Retailer Requirements

Reduce chargebacks, rejected loads, disputes, and customer service escalations.

Have routing, labeling, appointment, ASN, and delivery requirements been confirmed?

Are accessorials, special handling, temperature, liftgate, detention, or residential requirements documented?

Is there a clear owner for customer-specific compliance before tendering the load?

Chain of Custody & Handoff Proof

Make every pickup, transfer, delivery, signature, update, and exception traceable.

Is there a time-stamped record of pickup, transfer, delivery, and acceptance?

Can the team quickly prove who had the freight, when, and under what conditions?

Are signatures, confirmations, photos, notes, and exceptions attached to the shipment record?

Exceptions & Communication

Define who needs to know when something changes and what happens next.

Is there a clear escalation path for delays, rejections, damage, or missing documentation?

Can internal teams, customers, carriers, warehouses, and consignees see the updates relevant to them?

Will all documents, signatures, timestamps, updates, and exceptions be stored in one searchable audit record?
